Ordering samples from China: a process that saves weeks
Samples are where most quality problems can be caught. How to order, compare and approve them properly.
- Order samples from two or three shortlisted suppliers to compare.
- Send a written specification with the sample request.
- Ship samples by express courier.
- Keep a signed "golden sample" as the standard for production.
A sample is a promise in physical form. If it is wrong, the order will be wrong. If it is right, it becomes the standard every unit in your order is judged against.
The process
- Shortlist two or three suppliers.
- Send a specification: materials, sizes, colours with codes, finish, packaging.
- Agree costs. Many suppliers charge for samples and courier, sometimes refunded on the first order.
- Ship by express courier to the UAE or Saudi Arabia.
- Compare side by side against your specification and each other.
- Give written feedback with photos, and ask for a revised sample if needed.
- Approve and keep the golden sample. Sign and date it, and ask the factory to keep an identical one.

Watch out
Some suppliers send a perfect sample and produce something cheaper. The golden sample and a pre-shipment inspection protect you against that.
